Terms & Conditions

Please read these terms carefully before using our translation and attestation services.

Welcome to LexiTrans Translation & Legal Documentation Center. By engaging our services — whether in person, online, or through a third-party referral — you agree to be bound by these Terms and Conditions in their entirety. These terms constitute a legally binding agreement between you (the Client) and LexiTrans. If you do not agree, please refrain from using our services.

§ 01

Scope of Services

LexiTrans provides professional translation, certified document translation, notarization support, attestation facilitation, and apostille coordination services. Our services are available to individuals, corporations, governmental entities, and legal professionals across all recognized jurisdictions.

Services expressly included under this agreement encompass:

  • Certified and sworn translations of personal, legal, commercial, and technical documents
  • Notarized translations accepted by courts, embassies, and immigration authorities
  • Multi-language interpretation for legal proceedings, depositions, and official hearings
  • Document legalization, attestation, and apostille processing for international use
  • Expedited and standard-turnaround services subject to additional fees and availability

LexiTrans reserves the right to decline any project at its sole discretion, including but not limited to requests involving unlawful content, documents of uncertain provenance, or assignments that present irreconcilable conflicts of interest.

§ 02

Accuracy and Certification

LexiTrans employs qualified, experienced translators and applies rigorous quality assurance protocols to all deliverables. Our certified translations include a signed declaration attesting that the translation is a true and accurate rendition of the original document.

Certification by LexiTrans constitutes a professional attestation of translation accuracy — it does not constitute legal advice, a guarantee of document acceptance by any third-party authority, or a warranty of legal validity in any jurisdiction.

Accuracy is assessed against the source document provided by the Client. LexiTrans bears no responsibility for errors, omissions, or ambiguities present in the original source text. Where source text is illegible, damaged, or of poor quality, the translation will reflect the best possible interpretation, and such limitations will be noted in the certification statement.

Clients who identify discrepancies between the delivered translation and the source document must notify LexiTrans in writing within ten (10) calendar days of receipt. LexiTrans will review and, where warranted, issue a corrected version at no additional charge.

§ 03

Client Responsibilities

The Client assumes full responsibility for the accuracy and completeness of all source documents submitted to LexiTrans. By submitting materials, the Client represents and warrants that:

  • They are the lawful owner or authorized representative of the documents submitted
  • The documents are genuine, unaltered, and free of fraudulent content
  • All personal data contained within the documents may be processed by LexiTrans for the purpose of rendering the requested services
  • The intended use of the translated documents is lawful in the target jurisdiction

The Client is solely responsible for verifying the translation requirements of the receiving authority (embassy, court, institution, etc.) prior to placing an order. LexiTrans strongly recommends that Clients confirm formatting, stamp, and signature requirements with the destination authority before submission of a service request.

Failure to provide complete, legible, or accurate source materials may result in service delays, revised quotations, or cancellation of the order without refund of any processing fees already incurred.

§ 04

Attestation and Apostille Services

LexiTrans offers document attestation and apostille procurement as a facilitation service. We act as an authorized agent on behalf of the Client when submitting documents to competent national and international authorities. Processing timelines are governed by the relevant governmental bodies and are beyond LexiTrans' direct control.

Clients acknowledge and accept that:

  • Apostille services are subject to the provisions of the Hague Convention Abolishing the Requirement for Legalisation of Foreign Public Documents (1961) and apply only to signatory states
  • Processing times quoted by LexiTrans are estimates only and are not contractually binding
  • Government authority fees, consular charges, and any other third-party costs are passed through to the Client at cost and are non-refundable once disbursed
  • LexiTrans is not liable for delays, losses, or rejections caused by governmental authorities, postal services, or courier providers

Expedited processing requests are accommodated where authority procedures permit. Additional service fees apply and must be paid in advance. LexiTrans will confirm feasibility in writing before accepting an expedited assignment.

§ 05

International File Processing

LexiTrans facilitates the processing of documents intended for use in foreign jurisdictions, including but not limited to immigration filings, international commercial contracts, cross-border litigation, and multinational corporate matters.

Clients engaging international file processing services acknowledge that:

  • Legal standards, document formats, and authentication requirements vary significantly by country and are subject to change without notice
  • LexiTrans provides services based on requirements known at the time of order; the Client bears responsibility for verifying current requirements with the relevant foreign authority
  • Documents transmitted internationally may be subject to customs inspection, import controls, or local legal restrictions at the destination
  • Delivery of physical documents internationally is handled via insured courier, and LexiTrans will not be liable for loss or damage beyond the insured value declared at dispatch

For high-sensitivity international matters, LexiTrans recommends concurrent consultation with qualified legal counsel in both the originating and receiving jurisdictions. LexiTrans can provide referrals upon request but does not assume legal liability for such referrals.

§ 06

Confidentiality and Privacy

LexiTrans treats all Client documents and personal information as strictly confidential. All personnel and contractors engaged in the provision of services are bound by confidentiality obligations that survive the termination of their engagement with LexiTrans.

LexiTrans will not share, sell, license, or disclose Client information to third parties except:

  • As required by applicable law, court order, or competent regulatory authority
  • To authorized sub-contractors engaged solely for the purpose of completing the Client's project, subject to equivalent confidentiality obligations
  • With the Client's explicit written consent

Personal data is processed in accordance with applicable data protection legislation, including the General Data Protection Regulation (GDPR) where applicable. Clients have the right to access, correct, and request deletion of their personal data held by LexiTrans, subject to any retention obligations imposed by law or professional regulation.

Documents submitted for translation may contain sensitive personal, medical, legal, or financial information. LexiTrans implements technical and organizational safeguards appropriate to the sensitivity of such data, including encrypted storage and secure file transfer protocols.
§ 07

Fees and Payment

Service fees are determined based on document type, language pair, word count, required turnaround time, and applicable government or third-party charges. A binding quotation will be provided in writing prior to the commencement of any work. Quotations are valid for fourteen (14) days from the date of issue unless otherwise stated.

Payment terms are as follows:

  • New Clients: Full payment is required prior to commencement of work
  • Established Accounts: Net-14 payment terms may be extended at LexiTrans' discretion upon execution of a separate credit agreement
  • Government & Institutional Clients: Payment terms are governed by applicable public procurement frameworks and are agreed separately in writing

Late payments accrue interest at the rate of 1.5% per month (18% per annum) on outstanding balances, calculated from the due date. LexiTrans reserves the right to withhold delivery of completed work pending receipt of full payment. All fees are quoted exclusive of applicable taxes unless expressly stated otherwise.

Cancellations made after work has commenced will be subject to a pro-rated fee reflecting work completed to the point of cancellation. Cancellations prior to commencement are subject to a minimum administrative fee of 15% of the quoted project value.

§ 08

Limitation of Liability

To the fullest extent permitted by applicable law, LexiTrans' aggregate liability to the Client for any claim arising out of or in connection with the services provided — whether in contract, tort, negligence, or otherwise — shall not exceed the total fees paid by the Client for the specific service giving rise to the claim.

LexiTrans shall not be liable for any:

  • Indirect, incidental, special, consequential, or punitive damages
  • Loss of profit, revenue, business opportunity, goodwill, or anticipated savings
  • Losses arising from the rejection of documents by third-party authorities, including embassies, courts, immigration bodies, or registrars
  • Losses attributable to delays caused by governmental agencies, postal services, courier providers, or force majeure events
  • Reliance by the Client or any third party on the translated content for purposes beyond those stated at the time of order

Nothing in these Terms limits or excludes liability for fraud, fraudulent misrepresentation, death or personal injury caused by negligence, or any other liability that cannot be excluded by law.

§ 09

Governing Law

These Terms and Conditions, and any dispute or claim arising out of or in connection with them or their subject matter (including non-contractual disputes or claims), shall be governed by and construed in accordance with the laws of the jurisdiction in which LexiTrans is registered and operating, without regard to its conflict of law principles.

Any dispute that cannot be resolved amicably between the parties within thirty (30) days of written notice shall be submitted to binding arbitration under the rules of the applicable national arbitration body, unless both parties agree in writing to pursue litigation in a competent court of jurisdiction.

These Terms constitute the entire agreement between LexiTrans and the Client with respect to the subject matter herein and supersede all prior representations, warranties, agreements, and understandings, whether oral or written. LexiTrans reserves the right to amend these Terms at any time. Continued use of services following notice of amendment constitutes acceptance of the revised Terms.
